Introduction
Welcome to MetconIQ

This is the Owner manual — for the person running the gym: revenue, membership billing, packages, staff, leads and the settings that shape how the gym operates day to day. It covers the web app at metconiq.app; owners get most of their admin work done there rather than on mobile.

What MetconIQ gives you as an owner
Everything a coach can do, plus a business dashboard with revenue and retention analytics, membership tiers billed through your own connected Stripe account, packages and punch cards, staff and payroll, a lightweight leads CRM, waivers, and gym settings — cancellation policy, drop-in pricing, WhatsApp alerts and the front-desk check-in kiosk. Enterprise adds the multi-location portfolio view and AI gym layout planning.
Running classes with a coaching team? Programming, the class timetable and day-to-day session management are covered in the Coach manual — every owner is also a coach.

Solo studios

If your gym is on the Solo plan, MetconIQ treats it as a one-person personal-training studio rather than a group-training gym. The app's own wording adapts automatically: it says "client" where this manual says "athlete", and "studio" where it says "gym" — this manual keeps the group-gym terms throughout rather than maintaining a second copy. A Solo studio is a gym in every structural sense (seats, members, packages, tiers, Connect billing and invites all work the same), but several group-training surfaces are hidden from its navigation because there's nothing to run there: the leaderboard, class tracks, the published class timetable, Leads, Staff, Late fees, Payroll and the Waiver page. Sessions stays — a solo trainer books sessions directly rather than publishing a recurring timetable.

Your gym plan sets athlete seat capacity and unlocks business features. Individual athlete plans (Free, Pro, Elite, Box) and the platform's role system are covered in the Athlete manual — this page is the owner-relevant slice.

Extra seats cost S$32 / US$25 per month per block of 10 athletes, on every plan. Seat usage is shown live on the Members page (for example "47 / 50"), and annual billing (roughly two months free) is available for all plans from the pricing page. Lead assignment to specific coaches is available on every gym plan — it is not an Enterprise-only feature.

Coaches and owners bypass athlete plan gates — you and your team see Pro/Elite athlete features regardless of your own personal plan.

The Business dashboard is your financial and operational overview — revenue, membership health, class operations and staff performance in one page.

Instructor analytics
Per-session occupancy, attendance and classes taught per coach, for staffing decisions and reviews.
Lead funnel
Leads by source and by assigned coach, set/show/close rates, and median days-to-invite — how fast enquiries become members. Detail in Leads (CRM).
Once your gym has membership tiers, a "Billing: X of N on Stripe" line shows your billing attach rate — how many active members are billed automatically through Stripe, versus billed externally, versus not yet assigned a tier. MRR itself counts both card-billed and externally-billed members; members with no tier show as an explicit unassigned band so nothing is silently missing.

Export to your bookkeeper

The Export CSV button at the top of the page downloads the whole dashboard as a spreadsheet — revenue, membership, retention and class-operations numbers together — ready to hand to your bookkeeper or accountant.

Membership tiers & billing

Membership tiers are your gym's recurring memberships — you define them, price them, and put members on them. Billing can run through MetconIQ (card payments straight to your own Stripe account) or stay external (bank transfer, cash, another system) while MetconIQ still tracks who's on what.

Setting up

Connect card payments (once)
In Gym Settings, the card-payments panel walks you through connecting your gym's own Stripe account. Money from members goes to your account, not MetconIQ's.

Create tiers
Business → Membership tiers. Name each tier and set its price and interval (monthly or yearly). Tiers can exist — and MRR can be tracked — before card payments are ever connected.

Assign members, Stripe-first
From the Members page, pick a tier for a member. Send Stripe payment link is the primary action — it emails the member a link to enter their card, and renewal is automatic from there. Save (billed externally) is the secondary option for members you'll bill outside MetconIQ; the tier still counts in MRR either way.

Day-to-day billing operations

SituationWhat happens
Failed payment A daily sweep sends the member up to three escalating reminder emails (on a 0/3/7-day cadence) linking to their billing portal to fix the card. Access is never suspended automatically — the member's status stays yours to decide, and past-due members simply drop out of MRR until resolved.
Price change Edit the tier's price and members are notified by email in advance; the new price applies after the notice period elapses.
Hold / freeze Place a member's membership on hold from the Members page (travel, injury) and lift it when they return. A hold never suspends the member's account — their training history stays intact and only booking and billing pause; invoices for the frozen period are voided, not deferred. A hold with an end date resumes itself automatically if nobody lifts it by hand.
Refund Issue refunds from your Stripe dashboard — there's no refund button inside MetconIQ. A full refund on a drop-in cancels that booking automatically; a full refund on a package voids its remaining credits, recorded against the original charge. Partial refunds are logged but don't change anything in the app on their own.
Member self-service Card-billed members manage their own card and invoices from their Account Settings — no owner involvement needed.
Archiving a tier Archive or delete tiers you no longer sell; existing subscriptions keep their agreed price.
Tier MRR appears on the Business dashboard broken down by tier, with card-billed members counted at the price they actually pay and external members at the tier's current price. The billing attach line on the dashboard reads the same active-member population as revenue-per-member, so the two numbers always describe the same people.

Packages

Packages are pre-paid class bundles that become punch cards. The admin page has three tabs: Templates (what you sell), Member packages (what's been issued) and Requests (pending purchase approvals, with a sidebar badge).

How members buy

If your gym's card payments are connected and enabled, members see Buy now and pay by card — the punch card is issued automatically on payment. Otherwise, members send a request that lands in your Requests tab for approval and manual issuance. You can also issue any package directly from the Members page (comps, trials, front-desk sales).

One-off purchases: drop-ins

Set a drop-in price in Gym Settings (Cancellation Policy panel) to let visitors — or your own members without a package — pay for a single class at your drop-in link, no punch card needed. It requires card payments to be connected first; leave the field empty to switch drop-ins off entirely.

On Singapore one-time charges — drop-ins and card package purchases alike — PayNow and GrabPay appear automatically alongside card whenever your connected Stripe account has them active. There's no separate switch inside MetconIQ for this; it follows your Stripe account's own capabilities. Google Pay rides the card option everywhere.

Refunds on packages and drop-ins are issued from your Stripe dashboard, not from inside MetconIQ — see Membership tiers & billing for how a refund is reflected back in the app.

Staff & payroll

Staff

The Staff page (owner-only) manages your team: invite staff by email, see each person's role, status, pay type and page access, and open a per-staff drawer with two panels:

Payroll

Payroll auto-calculates each coach's pay for any calendar month from the sessions they were assigned to and their pay configuration.

Coach assignment on each session is what drives payroll — keep session coaches accurate in Schedules & sessions and month-end takes care of itself.
A Solo studio has no staff to manage — Staff and Payroll don't appear in its navigation.

Leads (CRM)

Leads is a lightweight CRM for gym enquiries — walk-ins, website messages, referrals — organised as a kanban board by pipeline stage: New → Contacted → Trial booked → Trial attended → Won, with a separate Lost column. A lead only reaches Won by being converted, which sends the invite — there's no way to mark one won without that happening, so the funnel below can't overstate conversions.

Drag leads through stages. Filter by assignee: everyone, mine, or a specific coach, plus an overdue-follow-ups filter.
Lead detail
A drawer per lead with contact details, a follow-up date, an assignee and a running summary note.
Activity log & call history
Every lead keeps a timeline: created, notes you add, stage changes (with the reason when a lead is marked Lost), assignment changes, follow-up dates set or cleared, converted, and the automatic follow-up reminder being sent — each stamped with who did it and when.
Follow-up reminders
Set a follow-up date on any lead. Once it passes, the lead surfaces under Leads' overdue filter and the assigned coach gets a push notification nudging them to follow up.
Funnel reporting
The Business dashboard's lead funnel reads from here: sources, per-coach conversion, and three rates — set (trial booked ÷ all leads), show (trial attended ÷ trial booked) and close (won ÷ trial attended) — plus median days-to-invite.
Erasure
Permanently erase a lead (with confirmation) when asked to remove someone's details.

Assignment & sources

Assign any lead to an active coach (or yourself) from its drawer — assignment works the same way on every gym plan. Sources are Walk-in, Referral, Instagram, Web or Other; pick whichever matches how the enquiry reached you, including a conversation that started as an Instagram DM or through the chat widget on your site.

On mobile, the Leads drawer is sized to fit a phone screen, so working a lead from your pocket is as usable as it is at a desk.
Not available on a Solo studio — a one-person personal-training practice has no lead pipeline to run.

Waivers

MetconIQ collects and stores liability-waiver signatures for you. You supply the waiver text — MetconIQ does not provide legal wording — and the platform handles presentation, signing and record-keeping.

Where members sign

Managing versions

The Waiver editor shows the currently published version and lets you draft and publish a new one. Publishing asks one important question: is this a material change? If yes, every member must re-sign the new version (the editor shows how many people that affects); if no, existing signatures remain valid.

Compliance records

The compliance view — opened with the View compliance button on the Waiver page — lists every member's signature status: version signed, when, and how (digital or paper), with a "show unsigned only" filter and CSV download. Each signature opens as a printable record for insurers or disputes.

Not shown on a Solo studio — a one-person practice has no group liability waiver to collect.

Gym settings & kiosk

Gym Settings collects your gym-wide policies and integrations in one page.

Cancellation policy Cancellation window in hours (free cancellation is blocked inside it), booking cutoff in minutes before a class (0 = book right up to start time), and a late-cancel fee in dollars — set it to $0.00 to flag late cancellations without charging one. Late fees owed and paid are tracked on the Late fees page, with a Mark paid action.
Drop-in price Dollar price for a single-class drop-in purchase at your drop-in link. Requires card payments to be connected; leave it empty to switch drop-ins off.
Member birthdays Toggle a once-a-year birthday greeting to members, signed with your gym's name. Off means members get nothing.
WhatsApp Publish a number in international format so members see a "Message on WhatsApp" link on their Classes page (empty = no link). Where MetconIQ has WhatsApp messaging switched on for your gym, a second toggle — Send WhatsApp alerts from this gym — sends two kinds of alert only: a waitlist spot opening, and a class cancellation, to members who opted in. A class cancellation goes by WhatsApp even to members who also get push, and counts against your allowance for each of them; a waitlist spot goes only to members without the app installed (push wins there). The panel shows your usage as "N of M this month" — the monthly allowance is 5 messages per athlete seat.
Branding Growth+ Upload your gym logo and pick an accent colour — with a live "on athlete app" preview. Your members see your colours in their app. Available on Growth and Enterprise.
Card payments Connect and manage your gym's own Stripe account for membership tiers, packages and drop-ins. Payments from members settle to your account.
Check-in kiosk devices Create and revoke kiosk device tokens for front-desk tablets (see below).

Setting up the check-in kiosk

Create a device
In Gym Settings → kiosk devices, create a device with a label ("Front desk iPad"). You get a one-time pairing token.

Pair the tablet
On the tablet's browser, open metconiq.app/kiosk and paste the token. The tablet is now paired — no one is "logged in" on it, so it's safe at the front desk.

Athletes tap, coaches confirm
The kiosk shows the roster for the running class in large type; athletes tap their row to claim check-in. Attendance is only recorded when a coach confirms the claims in Sessions. Unsigned waivers are flagged on the kiosk but never block the tap.

Revoke when needed
Lost or retired tablet? Revoke its device from Gym Settings and it stops working immediately.
The kiosk needs a live connection — it refuses taps while offline rather than losing check-ins silently, and refreshes its roster every 30 seconds.

Closures & minimum notice

Schedule a closure from the Schedules page — a single day or a date range, with an optional reason. Every session inside that range is cancelled automatically, affected members are notified, and any punch-card credit spent on those classes is returned. The booking cutoff field above (in the Cancellation policy panel) sets a gym-wide minimum notice: bookings close that many minutes before each class starts.

A Solo studio has no group timetable to close, and no Waiver or Late fees pages — those settings don't apply there.

Seats, plans & referrals

Seats

Your gym plan includes a seat limit (Solo 10 · Starter 50 · Growth 150 · Enterprise 300). The Members page shows live usage, and Buy more seats purchases additional capacity in blocks of 10 at S$32 / US$25 per month per block, without changing plans. Solo may buy one block only, taking it to 20; the other plans have no block limit. Seat purchases are web-only (not available inside the mobile app).

Changing your gym plan

Upgrade from the pricing page — choose the new plan and complete checkout; your gym's plan and seat limit update on payment. Your MetconIQ subscription (card, invoices, cancellation) is managed from Account Settings → MetconIQ subscription, which opens the secure billing portal.

Referrals

Athlete referrals
Every user has a personal referral link (Account Settings → Refer & earn). When the referred friend logs their first workout, both sides receive 30 days of Pro free.
Refer a Gym, Earn $100
Owners get a second card on Account Settings: your referral link, gyms referred, and total credit earned. Once a referred gym is live and paying for 30 days, you receive a S$100 (US$75 for USD-billed gyms) Stripe customer-balance credit toward your next invoice.

Portfolio & gym layout Enterprise

Multi-location portfolio

Owners with an Enterprise gym get the Portfolio view: every site in one table — athlete revenue, seat usage, bookings, fill rate and show rate — with portfolio totals on top and drill-through to each site's Business dashboard. Portfolio access is Enterprise-only, and is a property of the gym's plan, not something billing status can take away.

With the portfolio enabled, /admin lands on the Portfolio by default. To open a single gym's admin dashboard directly, drill through from the site row or add ?view=gym.

Gym layout planner

Upload a floor-plan photo (JPEG/PNG/WebP, up to 8 MB), enter your equipment quantities, and the layout planner analyses capacity, zone usage, traffic flow and safety clearances, returning prioritised recommendations. Previous analyses are kept for comparison. Available on Enterprise only, for owners, with a monthly allowance of 8 renders (resets on the 1st).

Mobile
The mobile app

MetconIQ ships as a mobile app with the same account and data as the web. As an owner, expect to do most of your heavier admin — the business dashboard, membership tiers, staff, waivers — on desktop; the app is built for what you need on the gym floor.

Owner-relevant mobile behaviour

The web app is fully responsive too — on a phone browser you get the same mobile layouts. The installed app adds push notifications and the native shell.

AI capabilities & access

MetconIQ's AI features are built into the product — no prompts to write, ever. All AI runs server-side through a single hardened service layer with validation and automatic retries. The rule across all of them: the AI drafts, people decide.

Monthly quota by gym plan

Group programming, personal plans generated by staff, rescales and scaling-tier generations all draw from your gym's own monthly pool (separate from any athlete's personal Pro/Elite allowance), reset on the 1st. Personal-plan quota is measured in plan-weeks — a 12-week plan spends 12, a 4-week plan spends 4.

Solo's pool leans toward personal programming on purpose — a personal trainer runs 1:1 clients, not group classes, so its group-plan allowance is deliberately small.

Access controls

AI features
Guardrails & quotas

MetconIQ's AI outputs are performance-coaching tools, not medical advice. Guardrails are enforced at three independent layers — in the prompts, in application code, and in the UI — so the rules hold even if any single layer fails.

What the AI will never output

Medical diagnoses
No injury diagnoses or medical assessments, ever. Load observations are framed as training-load signals, not health claims.
Nutrition prescriptions
No calorie targets, macro splits or supplement advice. MetconIQ collects no dietary data.
Invented data
Every insight is generated strictly from logged data; fields with no basis in the data stay empty, and thin data lowers the stated confidence.
Unavailable equipment
Programming AI is hard-constrained to your gym's declared equipment list — it cannot program a machine you don't own.

What always holds

Quotas & fair use

AI generation is metered per gym plan and per athlete plan, with monthly reset. Every generation is logged. If a quota is reached, the relevant button says so and shows when it resets — running generations are never cut off.

Questions about a specific AI output? Every insight and generation stores the exact data snapshot it was built from, so MetconIQ support can trace any card or draft back to its source data.
